Privacy Policy

Last Updated: October 23, 2025

Look, we're not here to sell your info or bombard you with spam. This gym's built on trust and sweat equity. We collect what we need to run a solid facility and keep our members safe. That's it. No corporate nonsense.

What Info We Actually Collect

When you sign up with us or book sessions, we're gonna need some basics:

  • Personal Details: Name, email, phone number, address. Standard stuff so we can reach you about your membership or sessions.
  • Payment Info: Credit card or bank details processed through secure third-party systems. We don't store full card numbers on our servers.
  • Health & Fitness Data: Medical history relevant to training, injury info, fitness assessments. This helps us keep you safe and program effectively.
  • Training Records: Your progress, PRs, session notes. We track this to help you get stronger, not to share with anyone else.
  • Facility Usage: Check-in times, class attendance. Basic operational stuff to manage capacity and scheduling.

How We Use Your Data

We're pretty straightforward with this. Your information helps us:

  • Process your membership and handle billing without issues
  • Schedule your training sessions and send you reminders so you don't miss workouts
  • Customize your training programs based on your goals and limitations
  • Communicate important updates about the facility, schedule changes, or new programs
  • Maintain safety protocols and emergency contacts in case something happens
  • Analyze facility usage to improve our services and manage equipment needs
  • Comply with legal requirements and insurance obligations

We don't sell your data to marketing companies or share it with random third parties. Period.

Who Can Actually See Your Info

We keep your data locked down tight. The only folks who get access are:

Our Coaching Staff: Your trainers need to see your health history, progress notes, and program details to coach you properly and safely.

Administrative Team: Front desk and management handle membership info, billing, and scheduling.

Service Providers: Payment processors, email systems, scheduling software. They're bound by their own privacy policies and data protection agreements.

Legal Authorities: Only if we're legally required to disclose information by Canadian law or court order.

Security Measures We've Got In Place

We're not messing around when it comes to protecting your data:

  • Encrypted storage systems for digital records
  • Secure physical filing for paper documents in locked cabinets
  • Limited staff access with individual login credentials
  • Regular security audits and software updates
  • Secure Wi-Fi networks separated from member access
  • Shredding of sensitive documents when no longer needed

No system's 100% bulletproof, but we're doing everything reasonable to keep your stuff safe.

Cameras & Facility Monitoring

Yeah, we've got security cameras throughout the facility. They're there for safety and security reasons - equipment theft prevention, monitoring form during lifts for safety, and general facility security. Footage is stored for 30 days then automatically deleted unless there's an incident that needs review.

Changing rooms and bathrooms don't have cameras. We're not weirdos.

Marketing Communications

We might send you emails about new programs, schedule changes, or facility updates. If you don't wanna hear from us beyond essential membership communications, just hit the unsubscribe link in any email or tell us at the front desk. We're not gonna be offended.

We'll never spam you with daily emails or sell your contact info to other businesses.

Your Rights & Control

Under Canadian privacy law (PIPEDA), you've got rights when it comes to your personal data:

Access Your Data

Request a copy of what personal info we're holding about you.

Correct Mistakes

Update any inaccurate or outdated information in your file.

Delete Data

Request deletion after your membership ends (we'll keep some records for legal/tax purposes).

Withdraw Consent

Stop us from using your info for optional purposes like marketing.

To exercise any of these rights, just shoot us an email at info@mythralionfortress.info or swing by the front desk. We'll get it sorted within 30 days.

How Long We Keep Your Data

We don't hoard your information forever. Here's the breakdown:

  • Active Membership Records: Kept current throughout your membership
  • Financial Records: 7 years after your last transaction (tax law requirement)
  • Training Notes & Progress: 2 years after membership ends, then deleted
  • Medical Information: 7 years after last visit for liability protection
  • Security Footage: 30 days, then automatically overwritten
  • Marketing Lists: Until you unsubscribe or membership ends

Website Cookies & Tracking

Our website uses basic cookies to remember your preferences and keep you logged into the member portal. We use analytics to see which pages get traffic and how folks navigate the site - helps us make improvements.

We don't use invasive tracking or advertising cookies. Your browser settings can block cookies if you want, but some features might not work as smoothly.

Minors & Youth Training

If you're under 18 and training with us, we need parental consent and a parent/guardian signature on all forms. We'll communicate with your parent or guardian about your training, progress, and any concerns.

Youth athlete data gets the same protection as adult members, but we require extra authorization from parents before sharing any information.

Changes to This Policy

Privacy laws and our practices might evolve over time. If we make significant changes to how we handle your data, we'll post the updated policy here and send you an email notification.

The "Last Updated" date at the top tells you when we last revised this document. Check back occasionally if you're curious.

Questions or Concerns?

If something in this policy doesn't make sense or you've got concerns about how we're handling your information, don't hesitate to reach out. We'd rather answer questions than have members feeling uneasy about their privacy.
